This success has driven the need to solidify their Program Management Office and completely overhaul its approach to managing projects and company resources. To achieve this, they chose Microsoft Project Server 2010 for its flexibility to meet organizational design demands and for its powerful Portfolio Management feature. Recognizing the risks and the challenges associated with implementing an enterprise solution, using in-house assets, they selected EPMA as Implementation Partner and Project Server specialists.

With no shortage of potential projects to choose from, yet constrained by a limited and dynamic resource capacity, employing Project Server’s Portfolio Management feature became a must have for the implementation to be considered successful. The EPMA team worked with the client’s management team to solidify and configure the business drivers that would allow for the proper, scenario-based selection and prioritization of projects from the pipeline, as well as to ensure that the management personnel was properly instructed to use the tool.


EPMA understands the subtleties between large, medium, and small-sized companies, with respect to their needs from an EPM solution, and has the flexibility to accommodate each successfully. In ESI’s case, being a small but growing company, our willingness to address the desired pace of their implementation, work hand in hand with their small IT staff, and provide them with a post-implementation ‘safety net’ via our support offering, nicely fit ESI’s vision of partnering with an EPM implementation vendor.


A major success factor for the Project Server implementation was being able to rely on the solution to facilitate Resource Capacity planning. As a starting point, our experts were able to help guide their PMs on crafting their project schedules so that resource- planned work accurately reflected the PMs’ visions of their projects. Next, EPMA configured Timesheet functionality for Project Server to accommodate user- directed project progress tracking which in turn allowed for resource utilization reporting.


To meet the requirement for a hands-off approach to updating their enterprise resource data, EPMA Developers created an interface between MSPS and SAP to bring into the resource records data that falls outside the bounds of the native Active Directory Synchronization process, such as resource rates. Additionally, functionality was developed to programmatically take specific, administrative actions for resources that have been made inactive in AD or removed from AD after 30 days of being inactive, thus removing another manual effort.


By accurately planning resource work efforts in project schedules, assigning rates to resources, and allowing the resources to report their actual work efforts using timesheet submissions, our report developers had the tools necessary to create meaningful, visual, and detailed reports to meet the needs of resource planners, project managers, executives, and financial planners. Reports highlighting various timesheet data help managers digest Project Server data. Custom barometer-style dashboards (ex. resource over-allocation) were created to appear on every project site to easily visualize.


Canrig elected to customize an EPMA Administration and Support Plan to enable them to utilize an EPMA resource onsite each week. This helps them to continue to more clearly define their evolving processes while making sure the system stays in tune. Our onsite resource system improves reporting which is key to forecasting, identifying trends and managing resource demands.
